We built PawKiDex around one principle: your pet's data belongs to you, not to us. This policy explains what we collect, why, and what you can do about it. We've written it in plain English because you should actually be able to read it.
1. Who we are
PawKiDex is a pet care platform connecting pet parents, vendors, vets, and animal welfare organisations. We are in pre-registration — our legal entity is being incorporated. Until registration is complete, this policy applies to all PawKiDex products and services, including Pawsport, PawMart, the Vendor ERP, FurrVet, FurrWings and PawsNGO.

2. What data we collect
From pet parents
- Account information: name, email address, password (hashed — we never store it in plain text)
- Pet profiles: pet name, species, breed, date of birth, microchip number, blood type, photo
- Health records: vaccinations, medical history, medications, vet visit notes — entered by you or written by a verified vet via FurrVet
- Booking data: grooming, boarding, and handler appointments
- Marketplace data: orders, receipts, payment records (processed via Razorpay — we do not store card details)
- Location data: city and country for vendor discovery. GPS is used only with your explicit permission and only for nearby search results
- Insurance documents: uploaded by you, stored securely
- Expense data: pet spending logs, auto-populated from your orders
From vendors
- Business profile: business name, contact details, location, service categories
- Staff data: employee names, roles, attendance, payroll (used only for HR module functions)
- Financial data: sales, invoices, ledger entries — stored within your ERP and not shared with other vendors
- Inventory data: product listings, stock levels, batch information
- Customer interaction data: bookings, order history, CRM entries
From all users
- Device and usage data: browser type, IP address, pages visited, time on site — collected via server logs and analytics
- Communications: support messages, waitlist form submissions
3. Why we collect it

4. Health and medical data
Pet health records are sensitive data. We treat them accordingly.
- Health records in Pawsport are accessible only to you and to vets or handlers you explicitly authorise
- Vet-verified records are written by the clinic via FurrVet — you can see exactly which clinic wrote each entry
- Travel-certified records are signed with a digital certificate — the signing vet's licence number is on record
- We do not sell, licence or share health data with insurers, advertisers or third parties without your explicit consent
- We do not use health data to train AI models without explicit opt-in
5. Who we share data with
We do not sell your data. Full stop. We share data only in the following circumstances:
- Vendors you book or buy from: your name, contact, and relevant pet details are shared with vendors when you make a booking or order
- Payment processors: Razorpay processes payments. Their privacy policy applies to payment data
- Infrastructure providers: our hosting and database providers (under strict data processing agreements)
- Legal requirement: if required by law, court order, or to protect the safety of users
- With your explicit consent: for anything not listed above
6. Your rights
Depending on where you are, you have some or all of the following rights:
- Access: request a copy of all data we hold about you
- Correction: update or correct inaccurate data
- Deletion: request deletion of your account and associated data
- Portability: export your data in a machine-readable format
- Restriction: ask us to stop processing your data in certain ways
- Objection: object to processing based on legitimate interests
- Withdraw consent: for any processing based on consent, you can withdraw at any time

7. Data retention
- Active account data is retained while your account is open
- If you delete your account, we delete your personal data within 30 days — except where we are legally required to retain it (e.g. financial records for tax purposes, typically 7 years)
- Health records: deleted on request, subject to any regulatory retention requirements in your country
- Anonymised, aggregated analytics data may be retained indefinitely — it cannot be linked back to you
8. International data transfers
PawKiDex operates across 16 countries. Your data may be processed in countries other than where you live. Where we transfer data internationally, we ensure appropriate safeguards are in place — including Standard Contractual Clauses (SCCs) for EU data transfers, and equivalent mechanisms for other jurisdictions.
9. Security
- Passwords are hashed using PBKDF2/Scrypt — we cannot see your password
- Two-factor authentication (2FA) is available and encouraged
- All data in transit is encrypted via HTTPS/TLS
- Access to production data is strictly limited
- Session management: you can see and revoke all active sessions from your account settings
No system is 100% secure. If we become aware of a breach affecting your data, we will notify you within 72 hours where required by law.
10. Children
PawKiDex is not directed at children under 13. We do not knowingly collect data from children under 13. If you believe a child has provided us with personal data, contact us at info@pawkidex.com and we will delete it.

12. Changes to this policy
We may update this policy as the platform evolves and as we formally register the company. We will notify you of material changes by email or by a prominent notice on the platform. The "last updated" date at the top of this page will always reflect the most recent version.
